Record history: who changed what, and when
The auditor sitting in front of you is not asking about the system's whole log; they are asking about this record: who created it, what changed in it, and who approved it. The History tab answers all three in one place without leaving the page.
Where to find it
Open a controlled document or an objective, then the History tab at the bottom of the page.
Opening it does not require system-administrator rights: whoever can see the record can see its history. If you can open the document at all, the tab is yours. If it does not appear, you lack permission to view that record — the tab is not disabled.
What it shows
- Every edit with its values: which field changed, what it was, and what it became — not a bare "record updated".
- Status transitions: who submitted, who sent for review, who approved, who withdrew.
- Signatures beside the edits in the same view: the signer's name, their title at the time of signing, the meaning of the signature (approval? review?), and its timestamp.
The title is copied, not computed. A signature made by "the quality manager" keeps that title even if the person's role changes a year later — which is exactly what an auditor asks about when examining an old approval.
What you will not find in it
The values of sensitive fields — salary, personal identifiers, medical examination results — are never written into the trail. You will see that the record was edited, when and by whom; you will not see the changed value.
When the actor is not a person
Some changes are made by the system itself: a calendar-driven transition, or a nightly sweep withdrawing what has expired. These appear attributed to a named system actor, not to an empty field — a line without attribution is precisely what an auditor stops at.
The paper
The download button at the top of the tab turns the whole history into a single paper — edits and signatures together — to print and attach to the audit file, or to send to an external auditor who never logs in.
